POSITION: Investor Relations Coordinator/Administrative Assistant
LOCATION: New York, NY - Soho Office (Hybrid 3:2 with flexibility to come in more as needed)
COMPENSATION: $100-150K DOE + bonus + benefits
HOURS: 8:00am – 5:00 pm with flexibility required

Our client, an established venture capital firm, is seeking a highly organized and proactive Investor Relations Coordinator to support their global IR team. The ideal candidate will have an EA background and be detail-oriented, skilled at managing multiple priorities, and comfortable working in a fast-paced, dynamic environment. This role is critical to ensuring seamless execution of daily investor relations priorities, including calendar management, travel coordination, meeting, and roadshow organization, and drafting internal and external communications. The IR Coordinator will also play a key role in CRM and data management, helping to maintain accurate and accessible information that supports the broader team. Responsibilities:
- Manage and optimize executives’ calendars, including scheduling meetings, calls, and events with internal and external stakeholders
- Coordinate logistics for meetings and events (venue booking, catering, A/V setup, presentation, and material preparation)
- Take meeting minutes, track action items, and follow up on deliverables
- Support planning and execution of large-scale events such as LP meetings, investor days, roadshows, and industry/networking events
- Plan and coordinate complex travel arrangements (flights, accommodations, ground transport), prepare detailed itineraries, and brief executives in advance
- Maintain Salesforce and Google Drive records with accurate data entry, organized meeting notes, contact information, and reporting.
- Support LP meeting preparation and manage Intralinks virtual data room access, including user permissions and document organization.
- Act as point of contact between executives and external stakeholders (LPs, funds, entrepreneurs, partners) with professionalism and confidentiality.
- Build and maintain key relationships, ensuring timely and effective communication.
- Manage and prioritize correspondence (emails, calls, documents) and draft/edit executive communications.
- Handle confidential and sensitive information with discretion.
- Provide project management support on ad hoc initiatives, including research and event planning, ensuring deadlines and deliverables are met
Requirements:
- 2-5 years of experience in administrative or coordinator roles, preferably in large technology or financial services companies, high-growth startups, or similar fast-paced environments
- Professional, collaborative, and team-oriented demeanor with eagerness to learn, take on new tasks, and adapt to changing priorities
- Exceptional organizational and multitasking skills, with the ability to prioritize competing demands and meet deadlines effectively
- Excellent verbal and written communication skills
- Proficient in Google Workspace, Slack, Zoom, LinkedIn, CRM tools (Salesforce preferred), and familiar with leveraging AI tools to enhance efficiency
- High level of discretion and integrity when handling confidential and sensitive information
- Ability to work independently and collaboratively, proactively anticipating needs and solving problems
- Familiarity with venture capital, startup ecosystems, or finance is a plus
- Full-time role requiring flexibility for executives’ travel schedules, time zone differences, and occasional evening or weekend work during high-demand periods
