Role Overview:

Our client, a boutique investment firm (20 or so people) is seeking an Executive Assistant. This individual will provide support with scheduling and calendar management, travel arrangements, account statement creation and maintenance of the office space such as mail distribution, keeping inventory of supplies and pantry. The ideal candidate is proactive, polished, independent, resourceful, and responsible. This role works alongside an additional EA with similar responsibilities to share in the overall office coverage.

POSITION:  Executive Assistant

LOCATION: Midtown (East)

IN OFFICE REQUIREMENTS: 5 days in with light flexibility to work from home if needed on occasion and also if no one in the office

HOURS: 8:30am – 5:30pm

COMPENSATION: $70-110k base DOE, plus robust benefits, bonus

BACHELOR'S DEGREE REQUIRED?: Preferred

Requirements of the Executive Assistant:

-Schedule and coordinate meetings for executives

-Coordinate travel arrangements and itineraries

-Prepare and reconcile expense reports

-Primarily 5 days in office requirement

-Collect document signatures and maintain efficient records

-Assist with the planning of the AGM

-Receptionist role – greeting office visitors and ensuring conference room reservations and set up as needed and assist with food deliveries/catering as needed

-Phone coverage - answer, screen, and handle calls as appropriate

-Special projects as needed

Requirements of the Executive Assistant:

-College degree or equivalent experience is preferred

-Minimum 1-3 years of experience working as an executive assistant or in a professional environment

-Excellent computer skills required; MS Office: Word, Excel, PowerPoint, Outlook

-Excellent verbal and written communication skills, including ability to communicate effectively and professionally with vendors and clients

-Excellent organizational skills and strong attention to detail

-Ability to prioritize workload and recognize importance of demands given by executives

-Must work well under pressure and be able to plan ahead

-Strong sense of professionalism and work ethic

-Discretion and ability to handle confidential, sensitive information

-Verifications of identity, education, prior employment, and references WILL be required
