Executive Assistant/Office Manager
Our client, a global Private Equity fund with multiple offices, is looking for a capable and motivated Executive Assistant/Office Manager (EA/OM) to join their NYC team. The EA/OM will support the firm Founder and 2-3 additional senior members of the company with administrative support and handle the overall office needs. The ideal candidate will be a problem solver, flexible, and a resourceful individual with excellent judgment and a low ego. POSITION: Executive Assistant/Office Manager
LOCATION: New York, NY (Midtown)
HOURS: 8:30 AM – 5/5:30 PM (very little / to no afterhours unless urgent!)
OFFICE REQUIREMENTS: In office 5 days (Monday – Friday)
COMPENSATION: $110-130k base + excellent benefits + discretionary bonus
BACHELOR'S DEGREE REQUIRED: Preferred
Responsibilities of the Executive Assistant/Office Manager:
-Manage calendars while paying close attention to time zones
-Arrange travel (private aviation) and prepare itineraries for the founder and members of the senior team
-Compile and submit expense reports
-Arrange for catering for meetings, events etc
-Assist with ad hoc projects
-Traditional office management functions (e.g., pantry items, visitor access, greet guests etc.)
-Liaise with various third-party service providers
-Plan team events, holiday gatherings, etc.
-Comfortable checking a phone off hours for emergency needs only (i.e. moving travel plans / the plane)
Requirements of the Executive Assistant/Office Manager:
-At least one (1) + years of experience as an administrative professional or in a similar type of role
-Interest and experience in working in a global finance firm
-Experience overseeing projects and an ability to take ownership of them
-Strong organizational, multi-tasking, and prioritizing skills
-Problem solver type with a great attitude (low ego / adult type preferred!)
-A self-starter and proactive by nature
-French speaker a plus (not required)
-Strong communication skills (written and oral)
-Ability to prioritize multiple tasks to successfully meet deadlines
