Our client, a prominent hedge fund, is seeking a dynamic and adaptable Administrative Floater to support various teams and operational functions in their New York City office. This is a fast-paced, hybrid role blending administrative, office management, and facilities responsibilities. The ideal candidate is a highly organized multitasker who thrives in high-energy environments and is comfortable jumping between tasks and departments as needs arise.
Position: Administrative Floater
Location: New York, NY (4 days in office)
Compensation: $90–$105K DOE + bonus + excellent benefits
Hours: 8:00am – 6:00pm
Bachelor’s Degree: Preferred
Responsibilities:
- Provide floating EA support across departments, including Business Development, Operations, and Facilities
- Manage ad hoc administrative tasks: booking travel, scheduling meetings, ordering supplies, preparing conference rooms
- Support Business Development team with calendar coordination, meeting logistics, and occasional event planning
- Step in to assist reception, executive assistants, or facilities team during vacations or high-volume periods
- Handle daily facilities needs: coordinating vendors, maintaining office standards, and resolving workspace issues
- Track and fulfill office supply orders, pantry needs, and basic maintenance requests
- Manage internal communications and support onboarding/offboarding logistics as needed
- Assist with document prep, internal requests, and cross-functional projects as assigned
Requirements:
- 3+ years of administrative or office operations experience in financial services
- Prior experience supporting multiple teams or working in a floater capacity is a plus
- Strong organizational and multitasking skills; thrives in fast-paced, high-volume environments
- Proactive and adaptable, with a team-first mindset and willingness to “roll up sleeves”
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word)
- Bachelor’s degree preferred
