Our client, a prominent hedge fund, is seeking an experienced Executive Assistant to support their Private Credit and Special Situations team based in New York City. This is a mid- to senior-level role supporting senior investment professionals. The ideal candidate thrives in a fast-paced, high-pressure environment and has a minimum of 5-7 years of executive support experience in the financial industry.

Compensation: $120–$140K DOE + bonus + excellent benefits
Hours: 8/8:30am – 5:30pm (available to be reached after hours as needed)
Bachelor’s Degree: Preferred
Responsibilities:
- Oversee complex, high-volume calendar management for senior MDs and team members, ensuring seamless coordination across internal teams and external stakeholders in multiple time zones
- Arrange intricate domestic and international travel for business and leisure, including flights, accommodations, car services, and detailed itineraries; experienced in handling last-minute changes and executive preferences
- Coordinate logistics for meetings, investor calls, and due diligence sessions; prepare and distribute materials in advance and track post-meeting follow-ups
- Partner closely with a second EA to provide consistent coverage and maintain continuity during peak periods or absences
- Act as a key liaison for senior investment professionals, managing high-level communications with discretion, professionalism, and sound judgment
- Prepare and reconcile monthly expense reports, proactively resolving discrepancies and ensuring timely submission in collaboration with finance support teams
- Maintain organized digital records, contacts, and files to support rapid information retrieval and compliance requirements
- Provide occasional personal support, including travel coordination and document handling for executives; flexible in handling ad hoc requests as needed
Requirements:
- 5+ years of executive assistant experience within the financial services industry
- Strong proficiency in Microsoft Outlook, Word, and Excel
- Ability to manage high-pressure situations and competing priorities
- Excellent written and verbal communication skills
- Highly organized, proactive, and detail-oriented
- Strong judgment, discretion, and professionalism
- Ability to work flexible hours when needed, including occasional after-hours support
- Team-oriented with a collaborative mindset
- Bachelor’s degree preferred
