Our client, a high-end global commercial furniture dealer is looking for a motivated, smart, driven individual for their Administrative & Personal Assistant / Receptionist role.  The ideal candidate will be professional, highly organized, and proactive, serving as the first point of contact for visitors and clients while providing administrative support to ensure smooth day-to-day operations in the office. This role will support the office by managing the front desk and providing general administrative support to our executive management team and several departments.

POSITION: Administrative & Personal Assistant / Receptionist  

LOCATION: New York, NY  

HOURS: 9 AM – 5PM (very little / to no afterhours unless urgent!)

OFFICE REQUIREMENTS: In office 4 days (Monday – Thursday, Friday REMOTE) 

COMPENSATION: $55-70k base + discretionary bonus, referral program, 401K, health insurance, retirement plan, vision insurance, HSA account, dental insurance, and life insurance

BACHELOR'S DEGREE REQUIRED: Preferred

Responsibilities of the Administrative & Personal Assistant / Receptionist:

-Greet and assist visitors, clients, and vendors in a professional and welcoming manner

-Answer and direct phone calls, emails, and inquiries to the appropriate departments  

-Support logistics for meetings and events, including conference room scheduling.

-Manage incoming and outgoing mail, packages, and deliveries  

-Order and maintain office supplies and coordinate vendor service requests

-Maintain a clean, organized, and professional reception area and conference rooms  

-Provide administrative support including scheduling, travel arrangements, coordinating events and meetings, and assisting with reservations and personal appointments  

-Assist with personal errands such as returns, deliveries, and special projects

-Support employee onboarding and logistics, including desk setup and badge distribution

-Lead the planning for employee events and office initiatives  

-Provide general administrative support to other departments as needed

-Maintain confidentiality and professionalism in all interactions  

-Assist with ad hoc projects 

Requirements of the Administrative & Personal Assistant / Receptionist:

-Office experience(internships ok!) as an administrative professional or in a similar type of role

-Strong organizational, multi-tasking, and prioritizing skills

-Excellent organization and time management abilities

-Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams)

-Professional demeanor with a customer-service mindset

-Ability to multitask and manage competing priorities in a fast-paced environment

-Team-oriented and reliable, with strong attention to detail

-Ability to prioritize multiple tasks to successfully meet deadlines

-Verifications of identity, education, prior employment, and references may be required
