Our client, a leading financial advisory firm, is seeking a proactive and detail-oriented Executive Assistant to support a team. This role supports team members across all aspects of their daily work, including, but not limited to, managing complex calendars, coordinating meetings, arranging travel, processing expenses, overseeing office logistics, and leading ad hoc projects. The ideal candidate is detail-oriented, highly organized, and capable of multitasking in a fast-paced environment. Strong interpersonal communication skills, sound judgment, and a consistently professional demeanor are essential.
Responsibilities of the Executive Assistant:
-Schedule and organize appointments, meetings, and events. Ensure that the executive's time is well-managed and optimize their schedule based on priorities.
-Plan and organize travel, including flights, hotels, transportation, and itineraries. Ensure travel logistics are smooth and cost-effective.
-Organize and schedule meetings, including booking meeting rooms, preparing agendas, and ensuring that all necessary materials and participants are available. Follow up on action items from meetings.
-Handle and track expenses, prepare reports, and assist in budget preparation.
-Handle confidential information with discretion, ensuring privacy and security of sensitive data.
-Act as a liaison between executives and internal teams or clients. Communicate directives, follow up on requests, and ensure alignment across departments.
-Track and update database daily to maintain accurate records of management meetings and ensure visibility for the team.
Requirements of the Executive Assistant:
-Bachelor’s degree is preferred.
-At least 5-7 years of experience in an administrative support role, with a strong preference for executive-level support experience.
-Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
-Strong ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.
-Excellent written and verbal communication skills, with the ability to interact professionally with internal and external stakeholders.
-Verification of identity, education, prior employment, and references may be required.
