Our client, a Midtown East investment firm is looking to hire an Office Manager / Administrator / Receptionist for their NYC based firm. This role provides administrative support for the CFO, Office Management and Reception support for the firm overall. The ideal candidate will be highly organized, proactive, and detail oriented. The firm hopes to find someone who can create a positive and inviting atmosphere while making sure the office runs smoothly and efficiently behind the scenes. This role is ideal for someone who thrives in a fast-paced setting and enjoys supporting senior leaders as well as cross-functional teams. The ability to juggle front desk responsibilities alongside office operations, coordination, and administrative support is essential.

POSITION: Office Manager / Administrator / Receptionist
LOCATION: Midtown East
HOURS: 8:30am – 5pm (with light flexibility after hours as needed)
OFFICE REQUIREMENTS: This role is in office 5 day week
COMPENSATION/BENEFITS: 85k- 125k base (bonus on top, benefits (medical, Dental, Vision, FSA plan) 401k and more)
BACHELOR'S DEGREE REQUIRED: Preferred
Responsibilities of the Executive Assistant/Office Manager:
Reception & Front Desk Support
• Serve as the face of the firm, providing a professional and welcoming experience for investors, partners, and guests
• Manage reception coverage and firm main phone line
• Coordinate seamless visitor arrivals and departures, including escorting guests and managing building access
Office Management
• Oversee all day-to-day office operations to ensure a high-functioning, polished environment
• Manage conference room scheduling and workspace coordination
• Partner with vendors and building management for maintenance, services, and repairs
• Ensure office systems and equipment (AV, printers, etc.) are fully operational, coordinating with IT as needed
• Maintain a clean, organized, and well-stocked office, including pantry management
• Coordinate deliveries, packages, and service providers
• Support with onboarding and offboarding logistics for employees
• Assist with printing, binding, and shipping materials
Administrative Support
• Provide support to CFO and Investment Professionals
• Manage calendars, scheduling, and meeting coordination
• Book travel and assist with expense reporting
• Handle phone screening and general administrative tasks
• Assist with ad hoc requests and errands as needed
Events & Hospitality
• Plan and coordinate firm events and internal meetings
• Manage invitations, vendors, and logistics for events
• Organize catering, and other hospitality needs
Requirements of the Executive Assistant/Office Manager:
-Bachelor’s degree preferred
-0–5+ years of experience as receptionist, office manager, administrative assistant, or similar support role
-Proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word) and Canva
-Prior experience supporting a corporate office environment preferred
-Strong organizational skills with the ability to manage multiple priorities simultaneously
-Strong communication and interpersonal skills
-High level of professionalism and attention to detail
-Ability to handle sensitive and confidential information with discretion
-Self-starter who is proactive, resourceful, and team-oriented
-Low-ego, high-ownership mindset, culture carrier type
-Positive, calm, and resourceful with exceptional judgment and critical thinking skills
-Verifications of identity, education, prior employment, and references may be required
