Executive Assistant to Co Founders
Our client, a mid-town-based boutique hedge fund (20 people or so), is seeking an Executive Assistant to support Co-Founders. The successful candidate will act as a trusted partner, anticipating needs and executing with discretion, and sound judgment. This role works alongside an additional 2 EAs with similar responsibilities and will be comfortable jumping in to share in the overall office coverage operational coverage as needed.

LOCATION: Midtown, NYC (East)
HOURS: 9am – 5pm/6pm
IN OFFICE EXPECTATIONS: 5 days in with light flexibility to work from home if needed on occasion and if no one in the office/traveling
COMPENSATION: $120-150k base +Bonus, Benefits (Medical, Dental, Vision) and more!
BACHELOR'S DEGREE: Required
Responsibilities of the Executive Assistant:
- Manage ever moving calendars, correspondence, Zoom calls, and meetings for the Founders
- Arrange all business travel logistics, including flights, accommodations, ground transportation, and itineraries
- Prepare, review, and submit expense reports
- Collect document signatures and maintain efficient records
- Assist with the planning of the AGM
- Light (limited) personal support duties (making a dr appt, helping with gifting for birthdays / anniversaries in the office and additionally if needed)
- Assist in making sure that personal and professional calendars align and proactively work to rearrange conflict before they become conflicts!
- Act as a trusted gatekeeper, anticipating needs and proactively resolving issues
- Assist with special / ad hoc projects as needed
Requirements for the Executive/Personal Assistant:
- Bachelor’s degree
- 4-8+ years of experience as an Executive Assistant, preferably in finance or a fast-paced professional environment
- Strong verbal and written communication skills
- Proven ability to collaborate effectively within an administrative team
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); advanced skills a plus
- Ability to prioritize workload and recognize importance of demands given by executives
- Must work well under pressure and be able to plan ahead
- Strong sense of professionalism and work ethic
- Discretion and ability to handle confidential, sensitive information
- Flexible, positive attitude with a “no task is too big or too small” mindset
