Our client, a top-tier hedge fund, is seeking a highly organized Receptionist to support daily operations in their New York office. This role goes beyond traditional front desk responsibilities, with a strong emphasis on office coordination, kitchen and pantry management, and billing/invoicing support. The ideal candidate is detail-oriented, proactive, and comfortable managing multiple operational workflows in a fast-paced environment.
RESPONSIBILITIES:
- Serve as the face of the firm; greet and direct guests while maintaining a professional, client-ready reception area
- Remain at the front desk during peak hours and manage incoming calls and mail
- Oversee daily office operations, supplies, and inventory to ensure a seamless work environment
- Manage access cards, new hire materials, and attendance/vacation tracking
- Support general office logistics and organization
- Manage kitchen and pantry operations including ordering, stocking, and maintaining cleanliness
- Oversee daily lunch service and corporate account coordination
- Process invoices in QuickBooks and Bills.com, including coding and approvals
- Handle vendor follow-ups, expense categorization, and check processing
- Track AMEX expenses to ensure timely submission
- Assist with sales tax documentation, filings, and vendor records (W-9s/W-8s)
- Support annual reporting such as charitable receipts
QUALIFICATIONS:
- 5–7 years of experience in a small office environment with exposure to office coordination, kitchen/pantry management, and billing/invoicing
- Strong experience with QuickBooks and general accounts payable processes
- Exceptional organizational skills and attention to detail
- Ability to multitask and manage competing priorities with a high level of ownership
- Strong communication and interpersonal skills with a professional, client-facing demeanor
- Proactive, hands-on approach with a willingness to wear multiple hats
