EA to Client Servicing Team
Our client, an alternative investment management company, is seeking an exceptionally organized career Executive Assistant to support a Partner and a Managing Director on the Capital Formation team based in New York. This role is embedded within the Client and Capital Formation team and plays a critical part in supporting investor engagement across our diverse platform.
The successful candidate will thrive in a fast-paced, global environment and demonstrate sound judgment, discretion, initiative, and strong communication skills. This position requires a high level of autonomy and precision, particularly in coordinating complex travel and investor meetings across the US.

POSITION: Executive Assistant
LOCATION: Midtown, Manhattan
HOURS: 9am – 5pm (with flexibility)
OFFICE REQUIREMENTS: 4 days in office and 1 day s remote (Fridays) with light flexibility required
COMPENSATION: Up to $125-145k base & overtime eligible + bonus, benefits (medical, dental vision, daily lunch and snacks, and more!)
BACHELOR'S DEGREE REQUIRED: Preferred
Responsibilities of the Executive Assistant:
-Manage highly complex calendars across multiple time zones, with a focus on coordinating investor meetings and internal in our key regional markets.
-Lead roadshow logistics, including booking multi-leg travel itineraries, securing hotel and ground transportation, arranging business meals, and preparing detailed agendas tailored to local customs and preferences.
-Liaise directly with investors, external contacts, and internal stakeholders to ensure seamless communication and scheduling.
-Prepare briefing materials and investor notes for meetings, often under tight deadlines and with limited oversight.
-Track investor interactions and meetings in Salesforce, ensuring accurate and timely updates for the Client & Capital Formation team.
-Submit and reconcile complex expense reports, involving coding and compliance requirements.
-Support regional office events and contribute to the broader team culture.
-Provide backup coverage for fellow EAs and in person hospitality for onsite meetings arranged by the global coverage team.
Requirements of the Executive Assistant:
-Minimum of 7+ years’ experience as an administrative assistant, preferably within financial services.
-Proven experience supporting senior executives in a global financial services or investment firm, ideally with exposure to the Middle East region.
-Deep understanding of cultural nuances and logistical challenges involved in regional roadshow planning.
-Flexibility to troubleshoot and address issues outside regular business hours as needed.
-Knowledge of Salesforce and proficiency in MS Office applications; Word, Excel, PowerPoint, Outlook, and Workday.
-Exceptional organizational skills and attention to detail, with the ability to manage competing priorities and adapt quickly to change.
-Strong interpersonal skills and a collaborative mindset, with a proactive approach to problem-solving.
