Our client, a mid-town-based boutique hedge fund is seeking a highly capable, intelligent, and tech-savvy Executive/Personal Assistant to support the CEO and broader team, while also overseeing office operations. This role is central to the smooth functioning of the firm and to the CEO’s effectiveness across both professional and personal priorities. The position blends high-level executive support, operational oversight, and selective personal assistance for the CEO. The successful candidate will act as a trusted partner, anticipating needs, managing competing priorities, and executing with discretion, precision, and sound judgment. Responsibilities will span administrative, research-based, operational, and personal support, touching nearly every area of the firm.

HOURS: 8:30am-5:30pm
IN OFFICE EXPECTATIONS: 5 days

Responsibilities of the Executive/Personal Assistant:
-Manage complex calendars, correspondence, conference calls, and meetings for the CEO and senior leadership team with a high degree of professionalism and efficiency
-Coordinate internal and external meetings, including preparation of materials, agendas, and timely follow-up
-Support the research team by registering for conferences, meetings, and industry events; manage corporate access usage; and assist with additional research initiatives as needed
-Oversee all business travel logistics, including flights, accommodations, ground transportation, and detailed itineraries
-Prepare, review, and submit expense reports on behalf of the firm and the CEO
-Conduct research for ad-hoc projects and special requests; synthesize findings, provide recommendations, and deliver results within tight deadlines
-Assist in the creation, editing, and ongoing maintenance of PowerPoint presentations with exceptional accuracy and attention to detail
-Manage Zoom and related technology platforms, coordinate webinars, virtual meetings, and hybrid events to ensure seamless execution
-Office Operations
-Oversee day-to-day office operations, including managing vendor relationships and liaising with building management
-Monitor office inventory, replenish supplies as needed, and maintain an organized, professional office environment
-Greet guests and prepare conference rooms according to meeting requirements
-Collect, distribute, and manage incoming and outgoing mail and packages
-Ensure IT equipment is procured, configured, tracked, and maintained; keep accurate inventory logs
-Assist with onboarding new hires, including coordination of equipment, access, and logistics
-Identify, implement, and continuously improve efficient processes related to office operations and administrative support
-Personal Support to CEO
-Provide discreet and professional personal assistance to the CEO as needed, supporting efficiency across work and personal responsibilities
-Coordinate select personal scheduling, travel, appointments, and logistics
-Handle personal administrative tasks with a high degree of confidentiality and judgment
-Act as a trusted gatekeeper, anticipating needs and proactively resolving issues
Requirements for the Executive/Personal Assistant:
- Bachelor’s degree
- 6+ years of experience as an Executive Assistant / Personal Assistant, preferably in finance, investment management, or a fast-paced professional environment
- Exceptional verbal and written communication skills
- Proven ability to collaborate effectively within an administrative or operations team
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); advanced skills a plus
- Highly tech-savvy with the ability to quickly learn new tools and leverage technology to improve efficiency
- Extremely trustworthy, with demonstrated experience handling sensitive and confidential information
- Outstanding organizational, time management, and multitasking abilities
- Strategic thinker who anticipates needs, plans ahead, and is solution-oriented
- Ability to work quickly and efficiently while maintaining composure under pressure
- Flexible, positive attitude with a “no task is too big or too small” mindset
- Verifications of identity, education, prior employment, and references may be required
