HOURS: 9am – 6pm (with flexibility and connectivity outside of standard office hours)
OFFICE REQUIREMENTS: 5 days in office (Monday -Friday)
COMPENSATION: Up to $180K base + discretionary bonus + benefits + breakfast and lunch
BACHELOR'S DEGREE REQUIRED: Preferred

Our client, a single-family office, seeks a highly experienced, discreet, and proactive Executive/Personal Assistant to support the Principal and their family. This is a dynamic, fast-paced role requiring exceptional organizational skills, flexibility, and the ability to anticipate needs. The ideal candidate will have prior experience supporting UHNW individuals, a deep understanding of complex travel logistics, and be comfortable managing both professional and personal responsibilities.

Responsibilities of the Executive/Personal Assistant:
-Work alongside Executive Assistant to meticulously manage the Principal’s complex calendars, ensuring all appointments, day to day activities, travel, and engagements are seamlessly scheduled.
-Handle light business support, such as typing occasional documents, correspondence, etc.
-Gatekeep and streamline communication, ensuring the Principal receives only critical updates.
-Streamline communication by answering and directing incoming calls, greeting guests, managing contact lists, maintaining daily/monthly agenda for Principal.
-Manage all aspects of complex international and domestic travel for the family, including flights (commercial and occasional private), hotels, and transportation. -\
-Researching best travel options.
-Coordinate domestic and international travel arrangements; create detailed itineraries and ensure visas, passports, etc. are up to date.
-Research and vet hotels, restaurants, and experiences, ensuring the highest standards.
-Adapt quickly to last-minute changes in travel plans.
-Act as a point of contact for the family’s children, assisting with logistics, scheduling, and general coordination as needed.
-General property management support, art collection archiving, errands as needed etc.
-Assist in organizing family events, researching restaurants, and making dinner reservations, and invitations.
-Coordinate special events such as charity functions and social gatherings.
-Bill payments, expenses, and financial tracking.
-Handle medical appointments, insurance claims, etc. for Principal.

Requirements of the Executive/Personal Assistant:
-10+ years of experience as an Executive or Personal Assistant for a UHNW family or C-suite executive.
-Tech-savvy—proficiency in Microsoft Office Suite, Google Suite, and calendar/task management tools.
-Relevant experience providing personal service to a high-profile, private family a plus.
-Extensive experience in travel management, particularly international and multi-destination itineraries.
-Strong ability to anticipate needs, problem-solve, and pivot quickly in a fast-moving environment.
-Discreet, transparent, mature, and hardworking; exceptional interpersonal and organizational skills; extremely polished.
-Excellent time management skills; be able to prioritize multiple tasks simultaneously, efficiently, and effectively.
-Problem-solving skills; ability to anticipate needs; remain calm and composed during demanding periods; a self-starter.
