Our client, a financial holding company, is seeking an Administrative Assistant to support the Managing Director and manage day-to-day operations of the office. The ideal candidate will be organized, possess impeccable time management skills, and be adaptable.

OFFICE REQUIREMENTS: This role is 5 days in office
COMPENSATION: $80-130k base, plus benefits, and more
BACHELOR'S DEGREE: Preferred

Responsibilities of the Administrative Assistant with Light Office Management:

  • Provide support to the Managing Director, who is based in LA but frequently travels to NY. In addition, support for the CEO, when he is in NY
  • Efficiently manage the Managing Director’s calendar, scheduling meetings, appointments, and travel arrangements
  • Track and manage the Managing Director’s expenses, ensuring timely submission and reconciliation of expense reports
  • Handle sensitive and confidential information with the utmost discretion and professionalism
  • Provide administrative support to the NY team by scheduling meetings supporting ad hoc projects

Requirements of the Administrative Assistant with Light Office Management:

  • Experience as an Administrative Assistant and/or Office Manager, strongly preferred in the greater Finance industry
  • Bachelor's degree preferred or relevant professional experience
  • Exceptional collaboration skills with the ability to work with various team members
  • Superior organizational and time-management skills, with a keen eye for detail
  • Excellent written, oral communication and interpersonal skills who is capable of interacting with all levels of personnel
  • Solid working knowledge of Microsoft Office Suite of products (Excel, PowerPoint, Word, Outlook) required
  • Ability to multi-task and work with little supervision to ensure work is completed within deadlines in a demanding, fast paced and constantly changing environment
  • Ability to take initiative and foresight to anticipate needs and thinks and acts several steps ahead
  • Sense of urgency with a proven ability in planning, prioritizing, and organizing a diverse workload
  • Experience working across many regions, cultures, and time zones in a highly complex organization
  • Self-motivated with a "can-do " attitude and strong work ethic
  • Verification of identity, education, prior employment, and references may be required
