LOCATION: New York, NY (Onsite 4 days with flexibility to be in 5 days as needed)
HOURS: 9am-5pm with flexibility to come in earlier and leave later as needed as well as connectivity outside of hours
COMPENSATION: Up to $110K + Benefits + Discretionary Bonus

Our client, an Asset Management firm, in Midtown Manhattan, is seeking a highly organized and detail-oriented Operations Administrative Assistant to provide support to the firm’s operations team including the CMO, CFO, COO, CTO, and General Counsel. The candidate must have strong technology skills, and experience with CRM systems. This is a support-focused role with an emphasis on administrative excellence: calendar management, scheduling, record keeping, and travel booking. The ideal candidate is reliable, punctual, and thorough.

Responsibilities of the Operations Administrative Assistant:
Administrative Support
-Prepare meeting materials, agendas, decks, and briefings.
-Maintain digital filing systems.
-Support office operations including supplies and vendor coordination.
-Coordinate internal and external meetings, investor calls, and special events.
Travel & Logistics
-Coordinate domestic and international travel including flights, hotels, cars, visas, and itineraries.
-Maintain travel preferences and handle last-minute changes.
-Assist with expense reports, reimbursements, and invoice processing.
CRM & Systems Management
-Update and maintain CRM records including investor data, notes, and pipelines.
-Generate CRM reports and support Investor Relations requests.
-Liaise with vendors for basic troubleshooting.
Operational & Compliance Support
-Assist with data entry, reconciliations, document routing, and process tracking.
-Support compliance tasks such as document retention, KYC/AML collection, and audit prep.
-Help prepare materials for reviews and reporting cycles.

Requirement of the Operations Administrative Assistant:
-3+ years' experience in the finance field
-Competency with CRM, Microsoft Outlook, PowerPoint, and Excel
-Excellent written and verbal communication skills
-Strong organizational skills and attention to detail
-Ability to prioritize
-Professional discretion with confidential material
-Verification of identity, education, prior employment, and references may be required
