Our client, a leading healthcare-focused private investment firm, is seeking an experienced Executive Assistant to provide high-level support to senior executives in a fast-paced, high-performance environment. This role requires exceptional organizational skills, sound judgment, discretion, and the ability to anticipate needs while managing complex priorities with professionalism and confidence. The successful candidate will serve as a trusted extension of the executives they support, delivering high-touch service to internal stakeholders, investors, portfolio company executives, and external partners.

POSITION: Executive Assistant
LOCATION: New York, NY
HOURS: 8:30am 6pm (with flexibility as needed and connectivity outside of hours)
OFFICE REQUIREMENTS: 5 days in office
COMPENSATION: $140K-$175K DOE + bonus & comprehensive benefits
BACHELOR'S DEGREE REQUIRED: Preferred
Responsibilities of the Executive Assistant:
-Manage complex, high-volume, ever-changing calendars in Outlook, including scheduling internal meetings, investor calls, board meetings, and external appointments
-Coordinate across multiple time zones with internal teams, portfolio companies, advisors, and external stakeholders
-Anticipate scheduling conflicts and proactively propose solutions
-Arrange extensive domestic and international travel, including flights, accommodations, ground transportation, visas, and detailed itineraries
-Prepare executives for travel with comprehensive briefing materials and real-time updates
-Handle last-minute changes and disruptions calmly and efficiently
-Anticipate executive needs and preferences, acting as a proactive thought partner
-Serve as a gatekeeper and point of contact for senior-level internal and external communications
-Provide high-touch support to investors, portfolio company executives, and external partners
-Prepare presentations, meeting materials, and correspondence using PowerPoint, Excel, Word, and Adobe Pro
-Assist with expense reporting, document management, and record keeping
-Support deal-related workflows, including data entry, contact management, and reporting in CRM
-Maintain confidentiality around sensitive deal, investor, and personnel information
-Ensure timely follow-through on action items and all requests
-Act as a key contributor to office flow through ongoing collaboration with Reception
-Support conferences, board meetings, management meetings, investor meetings, offsites, and firmwide events
-Prepare agendas, materials, and logistics for meetings
-Coordinate with internal and external team members, Reception, and Technology Support to ensure seamless execution
Requirements of the Executive Assistant:
-Bachelors degree preferred
-5+ years of experience supporting senior executives, preferably within private equity, investment banking, asset management, or a professional services environment
-Expert proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint) and Adobe Pro
-Experience with DealCloud or a similar CRM system strongly preferred
-Exceptional organizational, time management, and prioritization skills
-Strong attention to detail with the ability to manage multiple priorities simultaneously
-Ability to manage shifting priorities and high-pressure situations
-Strong sense of ownership, accountability, and follow-through
-Polished communication style and professional presence
-High degree of discretion, sound judgment, and emotional intelligence
-Experience coordinating conferences or events and working with vendors and agencies
-Demonstrated project management skills with the ability to manage multiple priorities
-Strong writing, editing, and proofreading skills with a professional, restrained tone
-Exposure to investment firms, professional services, or healthcare-related environments preferred
