Our client, an alternative investment management firm, is seeking an exceptionally organized and polished Executive Assistant to support senior members of the Client & Capital Formation team based in New York. This role operates in a fast-paced, high-stakes environment and requires a candidate who can seamlessly manage complex schedules, investor interactions, and global logistics with discretion and precision. The successful candidate will serve as a trusted business partner and play a critical role in supporting fundraising initiatives, investor engagement, and high-profile events across the firm’s global platform.

POSITION: Executive Assistant to Client & Capital Formation Team
LOCATION: New York, NY
HOURS: 9am – 5pm (with flexibility as needed)
OFFICE REQUIREMENTS: Hybrid; 4 days in office / 1 remote
COMPENSATION: 125k -155k + bonus, overtime and benefits
BACHELOR'S DEGREE REQUIRED: Preferred
Responsibilities of the Executive Assistant:
-Manage complex, high-volume calendars for senior executives, including conflict resolution, prioritization, and schedule optimization
-Coordinate meetings across internal teams and external investors globally, accounting for time zones and competing priorities
-Serve as a trusted point of contact for executives and partners across the firm
-Support the fundraising lifecycle, including investor meeting scheduling, tracking, and CRM (Salesforce) management and reporting
-Coordinate investor meetings both on and off-site, roadshows, and fundraising events with precision and professionalism
-Prepare and organize materials such as pitchbooks, presentations, agendas, and briefing notes
-Arrange complex domestic and international travel itineraries
-Manage expense submission and reconciliation in a timely and accurate manner
-Anticipate issues, identify risks, and proactively resolve logistical challenges
-Prioritize competing demands and execute against multiple deadlines
-Act as a collaborative partner and key contributor to the broader global administrative team
Requirements of the Executive Assistant:
-Bachelor’s degree preferred
-5+ years of experience supporting senior executives (financial services strongly preferred)
-Prior experience supporting fundraising, Investor Relations, or Capital Formation teams a plus
-Highly organized, detail-oriented self-starter with excellent project management, prioritization, and problem-solving skills
-Proven ability to exercise sound judgment, anticipate needs, and handle confidential matters with professionalism
-Effective communicator and collaborative partner who thrives in fast-paced, high-volume environments
-Ability to operate in a global environment with availability outside standard business hours as needed
-Advanced Outlook and Microsoft Office skills; Salesforce and Workday Expense experience a plus
-Verifications of identity, education, prior employment, and references may be required
