Our client, a high-growth investment firm, is seeking an Executive Assistant to support the Founder & CEO. Working in partnership with the Lead Executive Assistant, this role serves as the execution engine behind the CEO's calendar, travel, and day-to-day operations. The ideal candidate thrives in a fast-paced environment, anticipates needs before they arise, and exercises exceptional judgment, discretion, and attention to detail. POSITION: Executive Assistant to the Founder & CEO (works alongside an additional EA too)
LOCATION: New York, NY (Meat Packing / West Village)
HOURS: 9am - 6pm (with flexibility to come in earlier or stay later as needed)
OFFICE REQUIREMENTS:4 days in office and 1 day remote
COMPENSATION: $150-180k base + bonus & comprehensive benefits
BACHELOR'S DEGREE REQUIRED: Required
Responsibilities of the Executive Assistant:
-Coordinate complex domestic and international travel, including flights, accommodations, ground transportation, reservations, and detailed itineraries
-Manage day-of travel logistics and quickly adapt to last-minute changes
-Coordinate meetings from start to finish, including conference rooms, video conferencing, printed materials, catering, and meeting logistics
-Oversee day-to-day executive logistics, including meal coordination, driver scheduling, and recurring operational needs
-Prepare, submit, and reconcile expense reports while tracking reimbursements
-Maintain accurate and organized executive contacts, files, and records across both business and personal matters
-Ensure executive technology and devices are properly functioning, serving as the primary liaison with IT to resolve issues as needed
-Partner closely with the Executive Assistant to provide seamless support to the Founder & CEO
-Provide backup coverage for the Lead Executive Assistant and broader administrative team during absences and peak periods
-Coordinate with the Family Office and cross-functional internal teams to execute shared priorities
-Manage special projects and ad hoc initiatives, including gifting, event planning, and other executive requests
-Provide personal and family administrative support with the highest level of professionalism and discretion
Requirements of the Executive Assistant:
-Minimum of 46 years of experience supporting a senior executive, Founder, Principal, or CEO
-Bachelor's degree preferred or equivalent professional experience
-Exceptional organizational skills with the ability to prioritize and manage a high volume of competing priorities
-Excellent written and verbal communication, interpersonal, and problem-solving skills
-Meticulous attention to detail with a demonstrated track record of accuracy and follow-through
-Strong proficiency in Microsoft Office Suite, including Outlook, Excel, and PowerPoint
-Experience with Google Workspace, Zoom, Slack, Airtable, or similar collaboration tools is a plus
-Ability to thrive in a fast-paced, high-touch environment while maintaining sound judgment and discretion
-Team-oriented mindset with the ability to collaborate effectively across multiple functions
-Verifications of identity, education, prior employment, and references may be required
