Our client, an investment firm, is seeking an Executive Personal Assistant to support the CEO, CRO and additional Senior members of the team. This individual will provide support with scheduling and calendar management, travel arrangements for business and personal needs. The ideal candidate will be experienced in handling a wide range of administrative tasks and able to work well independently as well as in a team environment. The candidate must be exceedingly well organized, capable of handling competing priorities and enjoy the challenges of supporting multiple people in a dynamic environment. This role works closely and alongside a Chief of Staff in the family office and will report into the office-based CAO.

LOCATION: Midtown
IN OFFICE REQUIREMENTS: 4 days (Mon – Thurs) in office with the ability to WFH on Friday
HOURS: 9am – 6pm (comfortable checking email / text offline -very limited!!)
COMPENSATION: $150-170k - DOE, plus bonus on top, full medical & dental benefits covered in full, FSA, Transit perks, bonus, 4 weeks’ vacation , unlimited sick days
BACHELOR'S DEGREE REQUIRED?: Required

Requirements of the Executive Personal Assistant:
-Schedule and coordinate meetings for executives
-Coordinate travel arrangements and itineraries
-Prepare and reconcile expense reports
-Primarily 5 days in office requirement
-Collect document signatures and maintain efficient records
-Assist with the planning of the AGM
-Greet CEO’s office visitors (coordinate with receptionist) and ensuring conference room reservations and set up as needed and assist with food deliveries/catering as needed
-Phone coverage - answer, screen, and handle calls as appropriate
-Liaise with CEO’s wife for travel as needed
-Handle special projects on a case by case
-Ability to travel domestical 1-2x a year to West Coast property

Requirements of the Executive Assistant:
-College degree is required
-Minimum of 5 years of relevant previous experience
-Professional demeanor with strong verbal and written communication skills; articulate and succinct
-Knowledge of general administrative practices and procedures
-Meticulous attention to detail
-Proficient in Outlook, tech savvy
-Comfortable with occasional texting or email afterhours (mostly timed to when the CEO travels!)
-Excellent organizational skills; plans, organizes, schedules, and communicates in an efficient, productive manner
-Focuses on key priorities; does not let important details slip through the cracks or derail a project
-Must be a strong team player and interact well across various levels of employee seniority
-Ability to learn and adapt, quickly and proficiently understand and absorb new information, adjust quickly to changing priorities and conditions and cope effectively with complexity and change
-Knowledge of NYC including restaurants and event spaces a plus
-Verifications of identity, education, prior employment, and references WILL be required
