Our client, an alternative investment management company, is seeking a strong EA to join their team. The ideal candidate will provide critical logistical and organizational support to senior leadership and professionals. You will work directly with four professionals and partner with two other Executive Assistants to provide seamless cross-coverage support. The firms work environment is characterized by high-stakes transactions, demanding schedules, and intense analytical work. The EA role is exciting as well as challenging and directly impacts the firms success and reputation. Each Executive Assistant improves the effectiveness of the team they support as well as the firm overall through utilizing judgment, discretion, initiative, independent problem-solving, organizational skill, and communicating ability.
COMPANY: Alternative Investment Management Firm
POSITION: Executive Assistant
LOCATION: Midtown, Manhattan
HOURS: 8:30am 5:30pm (with flexibility)
OFFICE REQUIREMENTS: 3 days in office and 2 days remote with light flexibility required
COMPENSATION: 120-135k base (plus overtime eligible + bonus, benefits) and medical, dental vision, daily lunch, and snacks, and more!)
BACHELOR'S DEGREE REQUIRED: Preferred
Responsibilities of the Executive Assistant:
-General administrative duties including heavy calendaring and phones, complex travel management, confidential and sensitive document preparation, hosting guests, and expense reimbursement management
-Meeting planning, preparation, and oversight
-Handle highly confidential information with discretion
-Plan, coordinate and ensure professionals schedules are followed and respected
-Foresee, research, and address potential issues, and new needs as they arise
-Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects / tasks to successful completion, often with deadline pressures
Requirements of the Executive Assistant:
-Bachelors degree or equivalent preferred but not required
-Minimum of 5 years of relevant administrative experience required (financial industry background preferred)
-Mastery of Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, etc.)
-Clear, concise, accurate communication skills
-Demonstrated integrity and discretion
-High attention to detail, especially regarding written communication, numeric information, and document preparation
-Strong organizational skills; ability to set and achieve priorities while working with multiple team members, several moving pieces at a time, and frequent status changes
-Partnering, rapport-building, and relationship management skills
-Ability to balance teamwork with self-direction and drive to solve practical problems and deliver results
-Initiative to seek learning opportunities and take on new tasks/responsibilities as assigned-Verifications of identity, education, prior employment, and references may be required
