Temporary Executive Assistant
COMPANY: Private Equity
POSITION: Contract/Temporary Executive Assistant (4-5 months open-ended)
LOCATION: New York, NY – (at least 5x in office to start with flexibility for 3:2 after)
HOURS: 8:30am – 5:30pm with some flex for OT as needed
COMPENSATION: $40-50/hour + paid OT
BACHELOR’S DEGREE: Preferred
Our client, a leading private equity firm focused on technology is seeking a highly organized, proactive, and detail-oriented Long-term Contract Executive Assistant to support one of their Internal Fund Teams for 4-5 months on an open-ended basis. This role is pivotal in ensuring the seamless operation of the team’s activities, providing proactive administrative support, coordinating complex schedules, and facilitating communication between internal and external stakeholders. The ideal candidate will have exceptional multitasking abilities, strong communication skills, and the ability to work in a fast-paced environment.
Responsibilities:
- Executive Support: Manage complex calendars and scheduling across multiple projects, prioritizing strategically.
- Travel Coordination: Coordinate seamless travel arrangements (flights, visas, car bookings, etc.) and recommend itinerary improvements.
- Expense Reporting: Process invoices and expenses accurately and on time using SAP Concur
- Administrative Support: Format and publish documents and PowerPoint presentations in line with house style
- Event Management: Lead logistics for team-specific forums, dinners, and networking events as well as co-organize internal events (socials, team-building activities) with other EAs.
- Team Collaboration: Collaborate with other EAs on wider team initiatives and administrative responsibilities
- Coverage: Provide effective holiday cover and take ownership of assigned team admin areas
Requirements:
- 5+ years of proven experience as an Executive Assistant in a fast-paced professional environment.
- Clear, diplomatic communicator under pressure
- Skilled at prioritizing, multitasking, and working independently
- Detail-oriented, accurate, and deadline-driven
- Resilient, proactive, and solutions-focused
- Experienced in project ownership, systems setup, and anticipating issues
- Strong intuition and interpersonal skills; builds relationships quickly
- Confident managing up and influencing effectively
- Discreet with sensitive information; sound judgment
- Tech-savvy: MS Office (advanced Outlook; intermediate PowerPoint, Word, Excel, Teams), Concur
- Familiarity with AI tools in the workplace preferred
