Our client, a growing real estate investment firm based in Midtown Manhattan, is seeking a Temp-to-Perm Administrative Assistant to join its team. The role focuses on a blend of office management and administrative support responsibilities. The ideal candidate has a "can-do" approach, is detail-oriented, great at follow-up, and understands that no task is too big or too small. POSITION: Administrative Assistant (Temp-to-Perm)
LOCATION: Midtown East, Manhattan
HOURS: 9:00 AM – 5:00 PM plus flexibility to come in earlier or stay later as needed
OFFICE REQUIREMENTS: 5 days in office
COMPENSATION: $70-100K base DOE + bonus + benefits
BACHELOR'S DEGREE REQUIRED: Preferred

Responsibilities of the Temp to Perm Administrative Assistant:
-Administrative support for CEO
-Calendar management/scheduling
-Ordering/serving lunch/coffee/refreshments throughout the day
-Arranging dinner reservations as needed – relationships with NYC restaurant managers a plus
-Supporting business and personal travel as needed – experience with international travel logistics a strong plus
-Providing administrative support for the family including updating school and extra-curricular activity calendars; coordinating paperwork/forms; transport to appointments, etc.
-Administrative support for key executives including, among others, support for travel, meetings, errands
-Calendar management/meeting coordination
-Ordering/serving lunch/coffee for key executives
-Some personal admin including light assistance with personal travel arrangements, dinner reservations, etc.
-Meeting support: managing all tasks for on-site meetings including, among others:
-Entering visitors into building security system
-Reserving conference rooms
-Managing conference room IT/setup and troubleshooting
-Organizing catering/coffee service, etc. for in-house meetings
-Arranging internal office space as needed for visitors
-Booking local hotels as needed
-Greeting visitors with a professional and gracious approach
-Cleaning and organizing conference room after meetings
-Event coordination support
-Assisting on the creative and administrative side for company-wide events, offsites, or holiday gatherings including venue selection, contract negotiation, menu selection, décor, etc.
-Pantry and supply maintenance
-Keeping company pantry stocked with refreshments/beverages
-Ordering office supplies
-Keeping pantry clean and organized throughout the day – loading dishes in the dishwasher/wiping counters etc.
-Office maintenance/repair requests including:
-Initiating and following up on service or IT requests
-Arranging COIs, W-9s, etc.
-Assisting with daily office management and administrative operations for full staff including, among others:
-Onboarding support — helping set up workstations, access badges, desk assignments, and welcome logistics for new hires
-Sorting and distributing mail, coordinate FedEx mailings etc.
-Making copies/scanning documents, etc.
-Handling ad-hoc administrative requests, including paperwork and documentation
-Keeping office organized and ensuring a professional, welcoming environment
-Acting as a reliable resource for the broader team as priorities evolve

Requirements of the Temp to Perm Administrative Assistant:
-Previous office administrative, office coordination experience
-Basic calendar management and scheduling experience required
-Basic technology proficiency and ability to learn new systems quickly. Knowledge of Microsoft Office Suite/Teams and PC-based technology is a must. Comfort with Claude and Concur Expense helpful
-Strong attention to detail and excellent organizational skills
-Comfortable handling a wide range of responsibilities with a service-oriented mindset
-Strong communication skills and professional presentation
-Highly trustworthy, dependable, and discreet. Able to handle sensitive information appropriately
-Positive attitude with a willingness to help wherever needed
-Ability to build relationships and work collaboratively with senior leadership and all staff
-Familiarity with key restaurants/restaurant managers and high level travel concierges a plus
-Verifications of identity, education, prior employment, and references may be required
