LOCATION: New York, NY (hybrid 4:1 with flex to come in 5 days if needed)
HOURS: 8:00AM - 5:00PM with flexibility to answer emails outside work hours
COMPENSATION: $150-175K DOE + Discretionary Bonus + Benefits

Our client, a hedge fund, is seeking a highly motivated Executive Assistant to support a Chief Strategy Officer and Chief Investment Initiatives Officer. The ideal candidate is professional, discreet, and adept at managing a diverse workload in a fast-paced environment. This position will work in close partnership with the New York-based EA/PA team, sharing responsibilities to ensure flawless support. Extreme confidentiality is required in all aspects of the role.

Responsibilities of the Executive Assistant:

  • Extensive calendar management and scheduling, coordinating daily with multiple internal teams
  • Complex international and domestic travel arrangements (flights, hotels, transportation, itineraries, dining)
  • Expense reporting and reconciliation
  • Preparation and logistics for Chief Strategy Officer and Chief Investment Initiatives Officer
  • Management of birthday, anniversary, and milestone acknowledgments
  • Daily coordination of meals/coffee for the executives when on site
  • Phone coverage and message handling
  • Meeting preparation, including printing materials and arranging conference-room technology
  • Maintenance of business contact information
  • Select PA tasks to help executives operate more efficiently

Requirements of the Executive Assistant:

  • A bachelor's degree with 7+ years of EA experience
  • Prior hedge-fund or financial-services background or a a similarly demanding environment ideal
  • Proficiency in Microsoft Outlook and the Microsoft Office suite (Word, Excel, PowerPoint)
  • Experience with Navan and Slack A PLUS
  • Strong written and verbal communication; ability to tailor messaging to different audiences
  • Demonstrated discretion and sound judgment with confidential information
  • Exceptional organizational and time-management skills; able to prioritize multiple tasks
  • Process-oriented mindset with meticulous attention to detail
  • Collaborative team player with a polished, professional demeanor
  • Must demonstrate a high sense of urgency and responsiveness, maintaining a proactive “always-on” mindset when business needs arise
  • Flexible and resourceful; able to switch gears effortlessly
