POSITION: Receptionist / Office Coordinator
LOCATION: New York, NY
HOURS: 8:00 AM 5:00 PM ( with flexibility)
OFFICE REQUIREMENTS: 5 days in office
COMPENSATION: $75k - 95K DOE + Bonus, Meal benefits, & Comprehensive Benefits covered in full
BACHELOR'S DEGREE REQUIRED: Preferred
Responsibilities of the Receptionist / Office Coordinator:
-Warmly welcome and greet all visitors, ensuring a polished and professional first impression of the firm
-Answer and direct incoming calls while serving as the primary point of contact for the reception area
-Stock and maintain the office pantry, kitchen, conference rooms, and common areas throughout the day
-Coordinate breakfast, lunch, catering, and refreshments for meetings and office events
-Order, receive, stock, and distribute office supplies, snacks, beverages, and pantry items
-Sort and distribute incoming mail, packages, and deliveries and coordinate outgoing shipments
-Prepare conference rooms for meetings, ensuring rooms are fully stocked and presentation-ready
-Coordinate meeting logistics, including room reservations and guest hospitality
-Support administrative projects and provide assistance to the Executive Assistant and broader administrative team as needed
-Partner closely with colleagues to ensure seamless day-to-day office operations and coverage
-Take ownership of the office environment, proactively identifying opportunities to improve organization, efficiency, and the overall employee experience
-Assist with special projects as assigned
Requirements of the Receptionist / Office Coordinator:
-03 years of professional experience in a receptionist, office coordinator, hospitality, or administrative support role
-Bachelor's degree preferred
-Positive, service-oriented attitude with a "no task too big or small" mentality
-Proactive self-starter who enjoys being hands-on and taking ownership
-Excellent organizational, communication, and interpersonal skills
-Strong attention to detail with the ability to multitask in a fast-paced environment
-Professional presence with exceptional customer service skills
-Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel
-Eagerness to learn and grow within a collaborative investment firm environment
-Verifications of identity, education, prior employment, and references may be required
