Personal Assistant
Our client, a UHNWI based in Miami is seeking a Personal Assistant to manage daily personal and property-related tasks for 1 main residence and additional support for 2 homes in the NYC area. In addition, must provide Personal Assistant support to the family. The role is primarily offsite, with in-person presence as needed for vendors, deliveries, and errands. The ideal candidate is self-sufficient and responsive. This role is hands-on and detail-oriented, requiring excellent organizational skills, strong vendor management, and the ability to coordinate personal, household, and property needs.

Position: Personal Assistant
Location: Miami, Florida (This role is based in Miami. Candidate can work at home in any of the surrounding areas but must be able to get to the Miami home once a week). Candidate will need to travel to the NYC area a few times a year to visit the NYC and the Hamptons home.
Salary: $125k-$150k base DOE plus bonus eligible and benefits!
Hours: 9am-5pm – with flexibility to work after/before hours as needed
Responsibilities:
Personal Support
- Manage complex calendars across family and personal commitments
- Handle communications, bookings, reservations, and special requests (Golf tournaments, parties,etc,)
- Coordinate travel (private and commercial), including detailed itineraries
- Provide basic financial support: tracking expenses, recurring charges, and vendor payments.
Family & Children’s Schedule Management
- Coordinate and manage children’s daily and long-term schedules (schools, extracurriculars, medical appointments)
- Liaise with schools and other caregivers when needed
- Arrange transportation, childcare coverage, and family travel logistics
- Ensure alignment between family calendar and principal’s commitments
Property & Household Management
- Oversee operations across 3 different residences (1 in NYC, 1 in Hamptons and 1 in Miami)
- Coordinate household staff, property managers, and vendors at each location
- Liaise with estate manager regarding maintenance schedules, renovations, and service contracts
- Ensure each property is fully prepared ahead of arrivals
Family & Lifestyle Support
- Coordinate usage, maintenance, and staffing for boats and other luxury assets
- Track household and lifestyle expenses across properties
- Assist with event planning, gift purchasing, and entertainment bookings.
- Help coordinate seasonal activities (holidays, camps).
- Support errands such as ordering, scheduling, mail and deliveries.
- Act as a tech-savvy point person for household and personal systems
Requirements:
- 3+ years experience supporting UHNWI, families, or private households
- Proven ability to manage children’s schedules and family logistics
- Experience overseeing multiple properties and/or luxury assets
- Strong technical proficiency (smart home systems, Apple/Google ecosystems, apps, etc.)
- Exceptional organizational and multitasking skills
- High discretion and emotional intelligence
- Flexible schedule with availability outside standard hours
