Our client is a Brooklyn-based community space supporting psychotherapy, community programming, and in-person networking. They are seeking a highly organized, personable, and dependable Office Manager to oversee the day-to-day operations of the space, support the people who use it, and ensure that the building remains welcoming, functional, and well cared for. This includes managing the physical office environment, supporting therapists and other individuals who use the space, coordinating vendors and building needs, handling organizational bill pay, and keeping digital information about space activities up to date.
The regular schedule is 10:00 a.m. to 6:00 p.m., five days per week. Approximately twice per month, evening and/or weekend work will be required to support in-person events. In those weeks, the Office Manager may take off Friday so that the total work week remains 40 hours.

Responsibilities of the Office Manager:
-Serve as the primary onsite point person for the space during regular business hours.
-Ensure the space is clean, orderly, welcoming, and ready for daily use.
-Open, close, and monitor the office as needed.
-Maintain office supplies, shared materials, signage, and common areas.
-Support a calm, professional, and hospitable environment for therapists, visitors, event participants, and community members.
-Develop and maintain simple systems for smooth day-to-day operations.
-Help prepare the space for in-person events, workshops, meetings, or gatherings.
-Coordinate room setup, supplies, signage, access, and basic hospitality needs.
-Be present for approximately two evening and/or weekend events per month.
-Support smooth event flow before, during, and after programs.
-Keep the website up to date with current activities, events, and space-related information.
-Make timely updates to event listings, program descriptions, room-use information, or other relevant pages.
-Coordinate with staff or leadership to ensure public-facing information is accurate and current.
-Assist with basic digital organization related to the space, such as shared calendars, documents, forms, and internal systems.
Requirements of the Office Manager:
-Bachelor’s degree preferred

-Strong organizational skills and attention to detail.
-Experience in office management, operations, administrative coordination, facilities coordination, hospitality, or a related role.
-Comfort being the primary on-site problem-solver in a busy physical space.
-Excellent communication and interpersonal skills.
-Ability to interact professionally with therapists, visitors, vendors, building management, and organizational leadership.
-Sound judgment, discretion, and reliability.
-Ability to manage multiple priorities without losing track of details.
-Comfort with basic financial administration, including bill tracking and payment workflows.
-Ability to work occasional evenings and weekends, approximately twice per month.
-Interest or experience in psychotherapy, mental health, clinical settings, or healing/community spaces is preferred but not required.
