Our client, an Investment Firm is seeking an Office Manager for their satellite office based in Chelsea. This individual will be responsible for maintaining office functionality, coordinating vendor and facilities management, supporting employee onboarding, planning company events, and providing administrative and travel support to internal teams and leadership. Please note, the role is in person every day.

Responsibilities

  • Liaise with property manager and engineers to ensure office upkeep. Hire supplemental third-party vendors as required.
  • Support US satellite offices with new joiner onboarding, tech set up, seating, stocking, and ad hoc.
  • Assist with office moves, both primary and satellite, including but not limited to finding suitable office spaces, facilitating lease agreements, and anticipating tech and office management needs.
  • Plan and execute large-scale social events (Holiday party, summer soirée, and townhalls) in additional to regular and varied bi-monthly happy hours and social gatherings.
  • Oversee monthly meal plan for all NY employees.
  • Identify opportunities for process and office management improvements and design and implement new systems; communicate changes to global office management to standardize across the firm.
  • Facilitate travel for 110 US employees, including but not limited to booking hotels, flights, taxis, and conference shuttles. Available out of normal working hours to troubleshoot when travel goes awry.
  • Monitor travel and send annual reports to Compliance.
  • Assist Partners, Business Development, Client Relations Group, Compliance, and a handful of associates with ad hoc administrative support, including scheduling internal and external meetings, securing lunch and dinner reservations for small-to-large parties, and handling time-sensitive mail.
  • Maintain and update electronic and physical files for compliance and HR.
  • Track and file company expenses, pay out invoices for third-party vendors, and liaise with Finance team to ensure properly maintained records.

Requirements

  • 2-5 years of administrative office experience
  • Punctuality attention to detail and organizational skills are vital
  • Knowledge of Microsoft Outlook, Word, Excel, and PowerPoint are required.
  • Knowledge of document management/archiving preferred.
  • Bachelor’s Degree Preferred
