Our client is a specialized logistics services company - they bring 90 years of expertise to provide comprehensive solutions for clients. They are seeking an Office Coordinator/Receptionist that will be responsible for managing various administrative tasks to ensure efficient office operations. This role involves maintaining a clean and organized office environment, managing communications, and providing strong administrative support to ensure seamless daily functions. This person will handle responsibilities professionally and precisely, making them crucial for upholding the company’s image and ensuring effective operations.
Responsibilities of the Office Coordinator:
• Address general inquiries, efficiently direct incoming calls to appropriate personnel, and accurately record and relay service inquiries to the sales team.
• Enter sales proposals using Connect & SAP platforms, maintain quality control over entered data, and provide job numbers for approved proposals.
• Manage documentation such as printing tags, placards, and entering Bills of Lading.
• Enter expense reports for Project Managers and handle other finance-related documentation.
• Welcome guests and visitors, manage conference room scheduling and ensure a hospitable environment.
• Efficiently organize and distribute mail, handle incoming and outgoing packages and ensure timely notifications to the relevant personnel.
• Oversee the daily opening, closing, and maintenance of the office; restock kitchen supplies and manage inventory for printers and copiers; prepare and organize conference rooms; disinfect high-touch surfaces; and manage weekly fridge cleanups.
Requirements of the Office Coordinator:
• Bachelor’s degree or higher.
• Proven experience in administrative, executive assistant, or reception roles, preferably in a busy office environment.
• Familiarity with office management software, including SAP and Connect, and proficiency in MS Office.
• Strong organizational and multitasking skills.
• Excellent verbal and written communication skills.
• Attention to detail and problem-solving ability.
• Professional demeanor and strong interpersonal skills.
• Ability to maintain confidentiality and handle sensitive information
