Our client, a leading investment firm with offices in Miami, FL (Coconut Grove) or New York City, NY (Midtown) is seeking a highly organized and dynamic Executive Operations & Corporate Access Associate to support their investment team of Portfolio Managers and senior executives. This hybrid role blends responsibilities across executive support, office management, and corporate access coordination. The ideal candidate thrives in a fast-paced investment environment, is detail-oriented, proactive, and comfortable engaging with both internal stakeholders and external partners.

POSITION: Executive Operations & Corporate Access Associate
LOCATION: Midtown, Manhattan
HOURS: 8am – 6pm
OFFICE REQUIREMENTS: 5 days in office (with light flexibility if needed and more around the summer window)
COMPENSATION: 125k-160k base + robust benefits (Medical, dental, vision and unlimited PTO!)
BACHELOR'S DEGREE REQUIRED: Required

Responsibilities of the Executive Operations & Corporate Access Associate:

  • Provide executive support to Partner-Portfolio Managers and senior staff, including heavy calendar management, travel arrangements, and ad hoc requests
  • Coordinate internal and external meetings, including those with public company executives, research providers, and sell-side contacts
  • Oversee office logistics: reception, catering, conference room booking, office supplies, pantry maintenance, and event planning
  • Liaise with internal departments (trading, research, finance, compliance, legal, IR, tech, quant, risk) to ensure seamless administrative support
  • Handle expense reports, invoice processing, and reimbursement workflows
  • Partner with the investment team to drive a high-impact Corporate Access program
  • Serve as the liaison between Portfolio Managers, analysts, and external corporate access teams to streamline meeting requests and event participation
  • Build and manage relationships with key sell-side brokers, ensuring timely flow of relevant event opportunities
  • Maintain and update a proprietary internal portal to track and organize upcoming events, 1x1s, and roadshows
  • Strategically align corporate meeting schedules with investment priorities, optimizing event participation
  • Assist with reporting and broker coverage analysis to evaluate access value and support performance-based broker compensation decisions

Requirements of the Executive Operations & Corporate Access Associate:

  • Bachelor’s degree required
  • 3–5 years of relevant experience in executive support, project coordination, or corporate access (financial services experience preferred)
  • Strong interpersonal skills with the confidence to interface with senior executives, high-networth individuals, and external stakeholders
  • Advanced organizational and multitasking abilities with exceptional attention to detail
  • Proficient in MS Office Suite (Excel, Outlook, Word, PowerPoint); experience with scheduling software and internal CRM tools a plus
  • Demonstrated discretion with confidential information
  • Self-starter with a team-oriented mindset and proactive problem-solving approach
  • Comfortable working in a high-stakes, dynamic environment and adapting quickly to evolving priorities
