COMPENSATION: $140 - 150K DOE + discretionary bonus + excellent benefits
HOURS: 8:30am – 5:00pm (with flexibility as needed)

Our client, a well-established private equity firm, is seeking an experienced Executive Assistant to provide senior-level administrative and project-based support to their Investor Relations and Finance teams. This role supports multiple Principals and Vice Presidents within a fast-paced, client-facing environment and is ideal for someone with strong judgment, exceptional organizational skills, and experience managing competing priorities across time zones. The position offers exposure to senior leadership and meaningful involvement in investor-related and team initiatives. The role is in-office Monday through Thursday, with remote work on Fridays, subject to firm policy.

Responsibilities:

  • Manage complex calendars for multiple senior leaders across offices and time zones
  • Coordinate internal and external meetings, including rooms, catering, and A/V
  • Arrange business travel and handle related logistics
  • Prepare and submit expense reports in accordance with firm policies
  • Maintain contact lists, distribution groups, and administrative records
  • Provide phone coverage and backup support for other Executive Assistants as needed
  • Support Investor Relations operations, including due diligence coordination and questionnaires
  • Organize and maintain fund data rooms and investor materials
  • Track and distribute capital call reminders and investor communications
  • Prepare and review presentations and investor-facing documents

Requirements:

  • 5+ years of Executive Assistant or senior administrative experience, preferably in financial services
  • Experience supporting multiple senior leaders simultaneously
  • Strong organizational, time-management, and prioritization skills
  • Excellent written and verbal communication skills
  • High attention to detail, discretion, and professionalism
  • Proficiency in Microsoft Outlook, Word, PowerPoint, and Excel
  • Ability to work effectively across offices and time zones
  • Proactive, adaptable, and collaborative approach
  • Bachelor’s degree required
