Our client a wealth management firm located in McLean, VA is seeking a highly organized and proactive Executive Assistant to support the CEO.  The ideal candidate will possess exceptional communication skills, a strong attention to detail, and the ability to manage multiple tasks in a fast-paced environment. This role is critical in ensuring the efficient operation of the executive office and will serve as a trusted partner to the CEO.

Location: McLean, VA – 5 days in the office

Salary:$130k-$135k base DOE plus bonus eligible

 

Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Communication: Act as the primary point of contact for internal and external stakeholders, handling correspondence and facilitating communication on behalf of the CEO.
  • Meeting Coordination: Prepare agendas, take minutes, and follow up on action items from meetings, ensuring timely completion.
  • Project Management: Assist with special projects, research, and data analysis as directed by the CEO, ensuring deadlines are met and objectives are achieved.
  • Confidentiality: Maintain a high level of discretion and confidentiality regarding sensitive information and business matters.
  • Office Management: Oversee the organization of the executive office, including maintaining files, organizing documents, and ensuring a productive work environment.
  • Event Planning: Coordinate logistics for meetings, conferences, and special events, ensuring a professional and seamless experience.

Qualifications:

  • Bachelor’s degree in Business Administration, Finance, or a related field preferred.
  • Minimum of 5 years of experience supporting C-suite executives, preferably within the financial services or wealth management industry.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to handle multiple priorities with a calm and positive demeanor.
  • Proactive, resourceful, and adaptable.
  • High level of professionalism and a strong work ethic.
  • Ability to work independently and as part of a team.
