Executive Assistant to CEO
Our client, a Financial Services firm, is seeking an Executive Assistant to provide high level administrative support to the CEO. The Executive Assistant must be creative and enjoy working within an entrepreneurial and fast-paced environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The ideal candidate will be reliable, detail-oriented, creative, and has relevant work experience in lifestyle and travel management.

POSITION: Executive Assistant to CEO
LOCATION: Hudson Yards – fully onsite with some flexibility for occasional remote work
HOURS: 8:30am-5:30pm with occasional work required early in the morning, evenings and/or weekends
SALARY: $175k-$225k base DOE plus bonus and benefits
Responsibilities
- Handle all calendar management for CEO, including scheduling and prioritizing meetings and appointments.
- Manage domestic and international travel arrangements including booking commercial and private flights, transportation and accommodations in addition to researching and creating travel itineraries
- Stay up to date on hospitality trends to execute prime reservations at restaurants, entertainment venues, athletic events, etc
- Work with Chief of Staff to organize and prioritize all internal and external correspondence and flag critical matters.
- Liaise with Chief of Staff to manage logistics for upcoming events, meetings & speaking engagements.
- Plan and organize holiday party and company wide events (source location, vendors, swag, gifts,etc)
- Curate customized gift experiences and oversee gift packaging for clients
- Organize, maintain & update personal and professional contacts, ensuring accessibility & accuracy
Requirements
- 7-10 years in an EA role, preferably supporting a CEO in the NYC area
- Must be able to do very light travel in the tri-state area on occasion
- Education: Bachelor’s degree preferred
- Anticipates needs and resolves issues before they arise
- Prioritizes effectively and manages multiple tasks seamlessly, with strong attention to detail
- Comfortable in a fast-paced work environment, comfortable working outside of business hours as needed
- Knowledge of industry trends in the city within hospitality
- Confidentiality: High level of discretion
- Excellent verbal & written communication skills
- Warm, personable, ability to build strong relationships with both internal and external stakeholders
