COMPENSATION: $150 – 160K DOE + Discretionary Bonus + Great Benefits!
BACHELOR’S DEGREE: Preferred but not required
Our client, an investment firm, is looking for a Senior Executive Assistant to support three Partners. The ideal candidate will be confident, respectful, and passionate about being the right-hand of a group of executives that work very hard to make the firm as successful as possible! This is a highly visible role and a great opportunity to support a tight-knit team.
Responsibilities of the Executive Assistant:
- Provide comprehensive administrative support for three Partners but be open to assist others when needed (i.e., CFO or General Counsel)
- Relieve the executives from as many activities as possible; think and plan ahead
- Extensive scheduling and calendar management
- Prepare and distribute materials for the weekly Investment Committee meetings
- Arrange travel, both domestic and international, both commercial and private, requiring significant attention to detail and the ability to plan trips that include hour-to-hour logistics
- Coordinate entertainment activities; familiarity with NYC venues would be helpful to be able to make appropriate dinner recommendations/reservations
- Run personal errands / tasks; (i.e., pick up lunch or medications, make purchases, etc.)
- Process expenses in Concur; diligent about obtaining receipts and uploading them promptly
- Process medical claims and reimbursements
Requirements of the Executive Assistant:
- Proficiency in Microsoft Office Suite (MS Outlook, Word, Excel and PowerPoint)
- Extremely organized and detail-oriented; one of the partners requires significant follow-up skills.
- Proactive and a self-starter
- Excellent interpersonal and communication skills, both oral and written; strong writing skills and correct English grammar
- Flexibility to answer emails outside of hours and on weekends if needed
- Resourceful, flexible, mature, zero drama
Benefits Summary:
- 4 weeks' vacation and 5 personal/sick days per year. During the fifth year of employment, vacation time increases to 5 weeks.
- Discretionary bonus paid in December.
