POSITION: Executive Assistant to CEO and Founder
LOCATION: Financial District New York, NY (in office 4 day/week)
COMPENSATION: $150-200K range DOE + bonus + equity + excellent benefits
HOURS: 8:30 – 5:30pm (some flexibility required)
BACHELOR’S DEGREE: Preferred
Our client, a rapidly growing fintech firm, is looking for a high-preforming Executive Assistant to support the Founder/CEO. This is a pivotal role for a seasoned professional who thrives in fast-paced, high-growth environments, exercises quick judgment, and brings both precision and strategic thinking to every task. The ideal candidate will be confident and proactive- someone who anticipates needs, takes initiative, and helps drive executive effectiveness at the highest level. Experience acting as a trusted partner in fast-paced, high-growth IPO or pre-IPO start-up environments is preferred. This is an opportunity to partner closely with an innovative Founder/CEO and leadership team at a fintech company entering its next stage of rapid growth.
Key Responsibilities:
- Manage the CEO’s complex calendar across multiple time zones, anticipating conflicts, reprioritizing proactively, and ensuring full preparation for each meeting.
- Plan and manage travel itineraries and logistics for domestic and international travel.
- Serve as a key point of contact for internal and external partners. Draft and manage high-level correspondence, ensuring timely follow-ups and consistent alignment with company priorities.
- Take ownership of to-do lists, drive follow-through across departments, and track deliverables to completion with minimal oversight.
- Support preparation of materials for board meetings, investor presentations, and other strategic initiatives with a high level of accuracy, professionalism, and confidentiality.
- Act as a liaison between the executive team and internal departments to ensure smooth day-to-day execution and alignment across business functions.
- Support the coordination of company offsites, leadership meetings, and team events.
- Manage sensitive information and company documentation with the utmost discretion, accuracy, and professionalism.
- Operate with a “Chief of Staff” mindset while maintaining excellence in core EA responsibilities.
Qualifications:
- Bachelor’s degree or equivalent experience.
- 5–8+ years providing high-level executive support.
- Background supporting a Founder/CEO, ideally in a pre-IPO or high-growth startup environment.
- Proven ability to exercise sound judgment, make decisions independently, and act with authority when needed.
- Exceptional organizational skills and a strong bias toward action.
- Polished communicator with strong written and verbal skills and the ability to represent the executive office with professionalism and poise.
- Adept at managing shifting priorities and maintaining composure under pressure.
- Proficiency with Google Workspace, Slack, Zoom, and other productivity tools.
- Comfortable working in-office 4 days per week (Monday–Thursday) in New York City
