LOCATION: Financial District NY (onsite Monday-Friday with some flexibility)
COMPENSATION: $120-130K range, depending on experience + equity + great benefits!
HOURS: 8:00AM - 5:00PM or 9:00AM - 6:00PM (flexibility as needed)

Our client is a fast-growing, venture-backed Series A startup. The team is scaling quickly, and they're looking for a highly organized, proactive Executive Assistant who can keep the leadership team focused, the office running smoothly, and their people supported as they grow. You will act as the CEO’s right hand while also owning core office operations and helping support recruiting and people processes. Responsibilities of the Executive Assistant:

Executive Support

  • Manage the CEO’s calendar, priorities, and scheduling across internal meetings, investors, customers, and partners
  • Coordinate domestic and international travel, itineraries, and logistics
  • Prepare agendas, meeting materials, and follow-ups
  • Track action items and ensure accountability across leadership
  • Handle confidential communication and serve as a professional point of contact for external stakeholders
  • Support board meetings, leadership offsites, and investor communications logistics

Office & Operations

  • Oversee day-to-day office operations and serve as the primary on-site point of contact
  • Manage vendors (facilities, cleaning, IT, supplies, catering, etc.)
  • Plan company events, team gatherings, and offsites
  • Maintain office budgets, purchasing, and expense tracking
  • Coordinate onboarding logistics (workspace setup, equipment, access, welcome experience)
  • Help establish internal processes, documentation, and workflows as we scale

Recruiting & People Support (Light HR)

  • Coordinate interviews and candidate scheduling across multiple calendars
  • Communicate with candidates and ensure a strong candidate experience
  • Support onboarding and new hire paperwork
  • Help organize employee engagement initiatives and internal communications


Requirements of the Executive Assistant:

  • 3–5 years of experience as an Executive Assistant out of startups or tech
  • Experience supporting senior leadership or founders preferred
  • Strong calendar management and scheduling coordination skills
  • Comfortable juggling many priorities in a fast-moving environment
  • Excellent written and verbal communication
  • Highly organized with strong attention to detail and follow-through
  • Professional discretion and ability to handle confidential information
  • Experience coordinating recruiting or HR processes is a strong plus
