Our client, a boutique investment management firm, is seeking a highly organized and proactive Temp Administrative Assistant to provide comprehensive support to the CEO and light backup support to the office. ROLE: Temp Administrative Assistant
LOCATION Midtown, Manhattan
HOURS: 9am-6pm
SALARY: $30-$45 an hour
Responsibilities:
- Answer and screen all incoming phone calls, directing inquiries appropriately.
- Manage the CEO's email inbox, prioritizing communications and responding when appropriate.
- Coordinate the CEO's travel arrangements, calendar, meetings, and day-to-day administrative support.
- Assist with accounting tasks, including expense reporting and recordkeeping.
- Prepare, organize, and mail business documents and correspondence.
- Run company errands, including banking, post office visits, coffee runs, and other administrative tasks.
- Provide personal executive support by scheduling appointments, making reservations, and handling other personal assistance requests.
- Maintain confidentiality while managing sensitive business and personal information.
- Ensure the CEO's daily operations run efficiently through proactive organization and time management.
Requirements:
- Bachelor's degree required.
- 2+ years of administrative or executive support experience.
- Strong organizational skills with exceptional attention to detail.
- Excellent verbal and written communication skills.
- Positive, energetic, and professional demeanor with a "no task too small" attitude.
- Ability to prioritize multiple responsibilities and adapt in a fast-paced environment.
- Dependable, proactive, and able to follow through on assignments with minimal supervision.
- Strong team player with a collaborative mindset and willingness to assist wherever needed.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with expense reporting systems is a plus.
