HOURS: 8:45AM-5:30PM with some flexibility

Our client, a Private Equity firm located in Midtown, Manhattan, is seeking an organized, detail-oriented, proactive and diligent individual to join the team. They are looking for a mature candidate who is able to adapt and think on their feet. As an Assistant, you will be expected to perform administrative and office support activities for multiple professionals in a fast-paced environment. There will be a lot of interacting, organizing, sorting, and tracking in this role.
Responsibilities of the Administrative Assistant:
-Manage complex, heavy calendars for multiple team members, prioritizing and resolving scheduling conflicts
-Book and coordinate internal and external meetings via Zoom and Teams
-Arrange domestic and international travel, including flights, hotels, car services, and dinner reservations
-Prepare and process monthly travel and expense reports in a timely and accurate manner using Concur
-Maintain comprehensive and accurate records for the team
-Communicate with executives and their assistants in a professional and effective manner across offices
-Perform data entry via Salesforce, maintaining contacts in Outlook, and scanning documents
-Maintain electronic document filing system
-Prepare confidential correspondence, presentations and other documents for meetings
-Provide back-up support to other admins during vacations
Requirements of the Administrative Assistant:
-Bachelor’s degree required
-Bachelor’s degree required
-2–4 years of administrative experience supporting a team (MD, Principal, VPs, Associates), ideally in financial services
-Proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel) Concur,
-Salesforce and AI platform experience a plus
-Maintain the highest level of discretion and confidentiality in all matters
-Ability to thrive in a fast-paced, rigorous work environment
-Poised and professional but also friendly and resourceful
-Strong written and verbal communication skills, strong attention to detail
-Punctual, proactive, dependable, and highly organized
-Demonstrate initiative, ownership of responsibilities
-Ability to work both independently and collaboratively as part of a close-knit team in NYC
