Our client, a midtown-based quant fund, is seeking an Executive Assistant/Personal Assistant to join a team focused on supporting their Chief Investment Officer and Founder. This role will work closely with other firm employees to ensure seamless integration between the founders professional and personal life.   


COMPANY: Hedge Fund 

POSITION: Executive Assistant/Personal Assistant 

LOCATION: Midtown, Manhattan

HOURS: 9am – 5pm with flexibility (3 days in office / 2 days remote) with an occasional 4/1 week

COMPENSATION: $100-150k (base) DOE + generous benefits + discretionary bonus

Responsibilities of the Executive Assistant/Personal Assistant:

- Calendar Management: Work with other members of the support team to maintain and manage calendar, scheduling meetings, appointments, and events. Prioritize and coordinate daily schedules for maximum efficiency

-Email and Communication: Work with other members of the support team to respond to emails and correspondence ensuring proper prioritization, and screening

-Travel Arrangements: Arrange and coordinate domestic and international travel, including flights, accommodations, transportation, and itineraries

-Meeting Coordination: Schedule, plan, and coordinate meetings, conferences, and teleconferences. Work with other members of the firm to prepare meeting materials and 

agendas

-Administrative Support: Provide general administrative support, such as document preparation, filing, and record-keeping. Handle expense reports and reimbursement requests

-Lifestyle Management: Coordinate personal appointments, health, and wellness activities, and family arrangements

-Foundation Support: Take on research projects that span philanthropic efforts

 

Requirements of the Executive Assistant/Personal Assistant:

-Prior experience in an executive assistant role supporting C-suite individual 

-Strong verbal and written communication skills in English

-Ability to get things done: a results-driven individual that can meet adversity with tenacity

-Strong organizational and time management skills

-Exceptional problem-solving abilities

-High level of discretion and integrity when handling sensitive information

-Sound judgment and decision-making skills

-Ability to manage competing priorities and meet deadlines

-Experience as a personal assistant

-Verifications of identity, education, prior employment, and references may be required
